Mega-Event Fan Zones, Management or Mayhem?

At mega sporting events like the Winter Olympics 2026, FIFA World Cup 2026, Super Bowl, and LA 2028 Olympics, fans expect more than just a game — they crave an unforgettable experience. Pop-up fan zones, interactive activations, and branded public spaces have become central to these events, offering unique opportunities for engagement beyond the stadium.

    Pop-up event, lifetime memories

These temporary environments let fans immerse themselves in the spirit of the event, connect with sponsors through creative activations, and create memories that last long after closing ceremonies. For organizers and brands alike, these fan zones are a powerful way to enhance the event’s atmosphere and build loyalty.

However, the excitement and energy of these fan zones also come with significant operational challenges. Massive crowds bring the risk of congestion, long queues, and safety hazards. With thousands—sometimes tens of thousands—of people moving through temporary spaces every day, it’s easy for bottlenecks and unsafe densities to form without warning. Traditional monitoring tools, such as manual counts, static CCTV feeds, or staff observations, often fail to keep up with the dynamic, unpredictable behavior of large crowds. This puts tremendous pressure on security and operations teams, who must balance safety, experience, and efficiency in real time.

    A winning vision

To meet these challenges, organizers need more than just cameras and crowd managers — they need accurate, actionable insights delivered instantly. That’s where a real-time, occupancy management analytics system can make a big difference for organizers.

By using advanced computer vision to detect and analyze people, queues, and certain objects in designated spaces, big and small, these systems provide a continuous, accurate picture of what’s happening.

Objective, privacy-compliant data accessible as KPIs on a user-friendly platform helps staff make real-time decisions based on occupancy levels, density hot spots, queue lengths, and flow patterns. For example, they can proactively open new entry points before a queue becomes unmanageable or adjust barriers to alleviate crowding before it becomes a hazard. This improves both safety and the overall fan experience, as visitors can move freely and comfortably through the event space.

    Management mastery at Paris 2024

Real-time management systems built on accurate, objective data are already being used at some of the world’s biggest sporting and entertainment events. Organizers for official sporting and fan-zone events in the summer of 2024 in Paris relied on such a system—a cloud-based KPI platform from Technis powered by real-time data from Xovis—to properly manage flows of tens of thousands of visitors.

“The Technis-Xovis solution helped Club France deliver an exceptional fan experience. It is an important milestone and enduring reference that should be considered by other organizers working on mega events,” Arnaud Courtier, Club France Executive Director, said of the system.

Paris 2024 was just one example of how Technis and Xovis are helping event organizers bolster safety and limit crowding. It’s representative of the complex challenges involved in today’s mega-event sector and market-proven systems that address those challenges—and provide organizers with peace of mind.

    Getting bigger, getting better

At events as high-profile and complex as the Winter Olympics, World Cup, or LA 2028, such capabilities are no longer a nice-to-have — they are essential. Real-time, object-level data empowers teams to deliver the seamless, safe, and engaging fan zones that today’s audiences expect, while protecting their privacy. As pop-up experiences continue to grow in scale and ambition, so too must the tools that keep them running smoothly.

With the right technology in place, fan zones at these upcoming mega-events can offer not just excitement, but also safety, efficiency, and peace of mind, ensuring that everyone can focus on what matters most: enjoying the moment.
